1. Information We Collect

We collect information you provide directly to us when you create an account, participate in forums, or apply to join the clan. This includes:

• Username and display name
• Email address
• Profile information and avatar
• Forum posts and messages
• Gaming platform IDs (Xbox, PlayStation, etc.)

2. How We Use Your Information

We use the information we collect to provide, maintain, and improve our services, including:

• Creating and managing your account
• Processing clan applications
• Enabling forum participation and messaging
• Sending newsletters and updates (with your consent)
• Displaying your profile and gaming achievements

3. Logs and retention

Staff audit logs record who did what (ban, role change, backup). They may include IP address and browser string.

• After 90 days we remove IP and browser string from audit rows (anonymize).
• After 365 days we delete routine noise (page views, expired sessions, CSRF rejects).
• After 730 days we delete remaining audit rows except payment/Stripe event ids kept for chargebacks.
• Database dumps in /home/admin/backups/rsfw and Google Drive Backups follow the backup keep policy (default 14 dumps).

Legal basis for logs: legitimate interest in security and moderation. You can ask for an export of rows about your account or anonymization after account deletion. Ban and payment rows may be kept in anonymized form.

4. Data Security

We implement appropriate security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the Internet is 100% secure.
